Most production delays trace back to the file, not the press. Bleed, resolution, color mode, and a separate white layer — get these right and a job runs the first time it's scheduled.

None of these are hard requirements a press enforces automatically — a file missing all five will still run, it'll just run wrong, and the shop or the client eats the cost of a reprint.
Any UV job that gets trimmed, routed, or die-cut to a finished size needs artwork extended past the trim line — a bleed of an eighth to a quarter inch is standard, though it's worth confirming with the shop for large-format or oddly shaped pieces. Skip it and a slight cutting variance leaves a thin white sliver of unprinted substrate along one edge, which reads as a mistake even on an otherwise perfect print.
Safe area works the other direction: keep live text, logos, and anything that can't afford to be clipped at least that same eighth-to-quarter-inch distance inside the trim line, not right up against it. This matters more on pieces that get mounted, framed, or grommeted afterward, since the finishing hardware itself can eat into that margin.

Resolution requirements scale with how close a viewer stands to the finished piece — treating a banner the same as a business card wastes file size for no visual benefit.

The failure mode that shows up most: a small web image, built for a screen at 72 DPI and a few hundred pixels wide, gets stretched to fill a six-foot banner. Enlarging a file doesn't add detail that was never captured — it just makes the existing pixels bigger and softer. If the only source is a small image, say so up front; a shop can often work with it at a smaller finished size or recommend a different treatment, but pretending it'll scale cleanly wastes a proof cycle.

Vector formats — PDF, AI, or EPS — for logos, text, and anything with hard edges, because vector art scales to any output size without quality loss. High-resolution raster formats like TIFF or layered PSD work for photographic content, but only if the resolution is built for the actual output size, not just what looks fine on a screen. A layered, editable PDF that keeps text as text is the easiest file for a shop to fix quickly if something needs a last-minute adjustment.
It depends on viewing distance, not a flat 300 DPI rule. A phone case or small label held close needs full 300 DPI at final size. A facade panel or large banner viewed from across a room can run at 100–150 DPI at full size and still look sharp, because the eye can't resolve that much detail at that distance. Sending a small web image and asking for it at banner size is the single most common resolution failure.
On a clear, dark, or tinted substrate, yes. A dedicated spot channel — a named spot color or a layer labeled White — tells the RIP exactly where opaque ink goes versus where the substrate should show through, which matters for a print with an intentional clear window or cutout. Leaving it out doesn't stop a job from running; it means someone else decides where your white goes.
